An event technology planning checklist for Fresno & the Central Valley

Define the event and the guest journey
Start with the basics: your event date, venue, guest count and the experience you want to create. A trade show activation may center on a product. A wedding or quinceañera may use a coordinated entrance and room color. A corporate gala may need sponsor visuals and timed stage moments. Identify the priority first, then decide where technology can support it.
Mark the entrance, stage, booth and other key locations on the floor plan. Consider where guests pause, what they will see from each direction and how they move between spaces. Keep entrances and circulation clear. Share the layout with the venue and production team before confirming display positions.
Prepare the creative and the schedule
Collect your logo, brand colors, theme references and any sponsor artwork. For hologram content, a vector logo in AI or EPS format is ideal; a high-resolution PNG can also be used. For projection or motion graphics, explain the visual mood and where the content will appear. Identify who can approve the creative so revisions do not get lost between several decision-makers.
Create a simple event schedule that includes venue access, installation, testing, guest arrival, key program moments and teardown. Note which scenes need live cues and who will coordinate them. If speeches, music or sponsor messages are still changing, tell the team which details are provisional rather than treating them as final.
Confirm practical details before show day
Ask about available power, permitted equipment positions and venue restrictions. Wireless LED tubes reduce the need for lighting cords, but the full setup still needs a coordinated plan. Confirm whether your event needs a technician throughout the program, and make sure everyone has one point of contact for changes.
