Projection mapping: what to check before booking your venue
By Valley Visual Innovations
Start with surfaces and light
Projection mapping aligns digital imagery with physical surfaces. A venue photo is a helpful starting point, but the production team also needs dimensions, surface details and a view of the surrounding space. Light-colored, matte surfaces generally give a clearer result than shiny or dark finishes. Flag windows, mirrors, columns and textured walls so they can be considered before the content is designed.
Ambient light affects how visible the projection will be. Ask the venue which lights can be dimmed and when daylight enters the room. Indoor evening events or outdoor settings after dark are more suitable than brightly lit spaces. A plan should account for the actual lighting during the program, not just how the room looks during a daytime walkthrough.
Protect sightlines and projector positions
Guests need to see the mapped surface, and projectors need a clear path to it. Share the stage, seating and entrance layout early. Discuss positions that keep equipment out of guest circulation and avoid people crossing through the image. Confirm venue access and power with the team before the layout is finalized.
Build the visuals around the event program. Ambient textures during dinner, sponsor recognition and a keynote reveal serve different purposes. List the moments that need a change, who will call the cues and whether they should align with music or speeches. That information helps the content and technical plan work together.
Leave room for alignment and testing
A mapped show needs time for installation, alignment and a rehearsal in the room. Confirm load-in and teardown windows with the venue rather than assuming the team can work while guests arrive. Valley Visual Innovations reviews surfaces, builds motion graphics around the event theme and offers on-site technical support. Share venue photos and your schedule when requesting a proposal so the creative starts with a workable plan.
